- Position Title: Office Assistant Receptionist

Position Summary
Akademiya2063 is seeking an organized, outgoing, and bilingual (French-English) Office Assistant Receptionist to join our team. The successful candidate will provide essential administrative support to various departments. S/he will provide excellent customer service while maintaining discretion and confidentiality. This position reports to the Office Manager. This position is based in Dakar, Senegal, and interested applicants must already have the appropriate authorization to work in Senegal.
Duties and Responsibilities
- Serve as the professional front-of-house to greet visitors, answer inquiries, and direct them to the appropriate party.
- Manage incoming calls, provide information about the organization and directing callers to the appropriate personnel.
- Monitor and manage the office email account, transferring requests to the relevant department for action.
- Maintain and update office-wide meeting calendars and oversee conference room bookings. Assist with receiving, recording, and processing supplier invoices.
- Manage the petty cash box, including processing replenishment requests.
- Monitor and track fuel card usage, coordinating generator and company vehicle replenishment requests.
- Provide administrative support to the administrative team and assist with event coordination and travel arrangements as needed
- Perform data entry and maintain organized filing systems.
- Assist with other clerical tasks and office duties as required.
Selection Criteria
- Bachelor’s Degree in business management, office administration, customer service or related field
- Minimum 2 years’ experience in receptionist or administrative roles. Having HR experience is a surplus.
- Exhibit excellent customer service abilities, including active listening, empathy, and problem solving.
- Display keen organizational and time management skills, vital for managing supplies, and databases, and contributing to event coordination.
- Proficiency in basic computer operations, particularly Microsoft Office applications, to support day-to-day tasks.
- Demonstrate professional etiquette and interpersonal skills, contributing to a welcoming and positive atmosphere.
- Show adaptability in handling various tasks and situations, taking initiative to provide optimal support.
